Steps to take when a family member passes

Losing a loved one is never easy, and it can be difficult to settle their estate while you are still grieving. The IU Human Resources staff is here to support you, explain the benefits available to you, and make sure you understand any actions you need to take.

First steps

Please do the following as soon as you are able:

  • Notify your supervisor of the death.
    • Contact your supervisor or the HR representative in your department. A list of contacts is available by calling AskIU at (812) 855-IUIU or by visiting the IU Directory. Write down their information so you have it on hand.
  • Notify IU Human Resources of the death.
    • Call (812) 856-1234 or email askhr@iu.edu to notify IU Human Resources of your loved one’s death. Claims for insurance policy payouts and other benefits-related tasks will be initiated by this office once notified.
  • Locate the following documents/information:
    • Death certificate (multiple copies)
    • Will or trust

Steps to take within 30 days

If your family member was covered as a dependent or beneficiary on your IU-sponsored benefit plans, they will need to be removed. Or, if you or your children were covered as dependents on the decedent’s plan(s), you may be eligible to enroll in IU-sponsored coverage.

All enrollments/coverage changes must be completed within 30 days of your loved one passing away. These benefit changes, known as qualifying life events, are submitted online through the Employee Center in One.IU.

Depending on your situation, you may need to update your name, address, emergency contact, and tax withholding information in the IU system. Log in to the Employee Center and visit the Personal Details and Payroll and Tax tiles to makes these changes.

Depending on your situation, you may need to update the beneficiaries listed on your IU-sponsored benefits. In some cases you can update your beneficiaries with IU through the Employee Center, while in other cases you must work with the vendor directly.

Steps to take within 90 days

Submit life and supplemental AD&D claims

IU Human Resources will send you claim forms directly for these plans, if applicable. Fill out and submit the forms along with any required documentation within 90 days of the death.

Health and welfare benefit information

Depending on whether the deceased family member was covered under your plans, or you were covered on your deceased spouse’s plans, you may make corresponding changes to your IU benefit plan elections.

You must make these changes within 30 days of the death by submitting a Life Event Change Request online through the Employee Center. Benefit changes will be effective as of the date of death.

If the decedent was enrolled as a dependent on your medical or dental insurance, they will need to be removed. If you or your dependents were covered under the decedent’s plans, you may be eligible to enroll in IU-sponsored coverage.

IU’s basic group life insurance includes a $3,000 benefit for your legal spouse and a $1,000 benefit for each dependent child through age 25.

IU’s voluntary supplemental dependent life insurance allows you to purchase additional life insurance for your legal spouse ($10K - $45K) and dependent children through age 25 ($10K each). If your family member was insured under your plan, contact IU Human Resources at askhr@iu.edu or (812) 856-1234 for assistance with filing a claim.

IU’s voluntary supplemental AD&D plan allows you to insure your legal spouse and dependent children through age 25. If your family member was insured under your plan and passed away as the result of a covered accident, contact IU Human Resources at askhr@iu.edu or (812) 856-1234 for assistance with filing a claim.

You may continue to submit claims to WEX for health expenses that the decedent incurred, or dependent care expenses for the decedent prior to their death. Claims must submitted by the deadline in the following calendar year.
