How do I access HireRight?
Departments are responsible for completing Form I-9 and initiating background checks for each employee they hire. Departments should identify a HireRight Standard User who needs access to the HireRight platform to initiate Form I-9s and background checks. New users are required to take the Form I-9 Compliance training prior to receiving access to the system. Requests to add a HireRight user must be made by a department manager or campus HR/Academic office.

Who needs a background check?
All staff and part-time employees are required to have a criminal history and National Sex Offender Registry check as a condition of employment at Indiana University.
Contingent workers hired through a third-party vendor must also comply with IU background check policies. These checks, however, are run through the vendor.
Who does not need a background check?
- Rehired Staff and Part-Time Employees (Including Student Part-Time Employees)
If the university has performed any checks on an individual within the past year, a new verification or history check of that specific category are not required. - Minors
Criminal history background checks are not required for employees who are 18 or younger. The unit should contact a non-relative reference as part of the employment verification process.

Do I need to run an international background check?
If an international employee has been in the United States for one year or more, a criminal history check is required. If the individual has lived in the United States less than a year and if their visa or authorization to work was issued or renewed after the implementation of the Patriot Act on October 26, 2001, the university will not require that criminal history check be conducted.
While most cases will not require an international background check, it is the hiring department’s responsibility to determine if an international check is required. International checks will no longer automatically run when the individual enters in an international address. Instead, these cases will be handled centrally in collaboration with IUHR.

How far back do background checks look?
Background checks search criminal history through all time. This is in order to comply the with Indiana Statute on expanded background checks, which does not place a limit how far back criminal history should be searched.
The background check I initiated came back as “Client Review Required.” What do I do?
Nothing. Someone from IUHR will be in touch with questions for you regarding the position and will walk you through the adjudication process.
The background check for my new hire is delayed, what do I do?
Several counties throughout the country are delayed in providing criminal history checks. As a result, you can request a waiver so that your new hire can start while the background check is pending. Departments may submit a waiver request by emailing the IUHR Employee Relations Team at .
