Total Rewards Notices Resume This July: Important Process Information Shared Here

HR Colleagues,

As we approach the new Fiscal Year, we wanted to share that like FY 2019/2020, this year we will be providing staff and faculty with personalized Total Rewards Notices that include their updated salary and benefit information. We know that base salary combined with generous benefits can be a key reason an employee may be attracted to and remain at Indiana University.

We want to provide you with information about the process surrounding the Total Rewards Notice. Please see below.
  1. The University Budget Office will provide an Excel file to RC/Department fiscal officers with salary information from the annual budget load the week of June 21. This information should be distributed to managers so they can communicate FY 2021/2022 salaries to their employees PRIOR TO the start of the new fiscal year. Please note that:
    1. Bi-weekly employees will see their new pay rate on their timesheet beginning June 27. Understanding that this is a small window of time, RC/Departments should make an effort to communicate salary information to employees prior to this date.
  2. Every faculty and staff member will receive a personalized email signed by President Whitten. The email will include the employee’s base salary, health and welfare information, retirement benefits, and IU tuition benefit as part of their “total rewards” package. A sample email is below. This Total Rewards Notice will only list the employee’s base salary for the next fiscal year, it will NOT show a percent of increase, if any was applied. 
  3. IU Human Resources will continue to provide salary bulletins for departments to post with increase information for union-covered employees. 
  4. Service maintenance employees will receive the personalized Total Rewards Notice via email, and will also receive a hard copy of the notice at their home address.

Timeline:

  • Week of June 21: University Budget Office provides Excel spreadsheets to unit fiscal officers.
  • June 21-27: RC/Departments communicate salary information to bi-weekly employees.
  • June 27: Timesheets display FY 21/22 pay rates.
  • Week of July 12: Total Rewards Notice email sent to staff and 12-month faculty.
  • Week of August 9: Total Rewards Notice email sent to 10-month faculty.

As key dates in the process are approaching, reminder emails will be sent to the HR Community and to fiscal officers. Additionally, an article about the total rewards notice will appear in Inside IU on June 16, 2021.
