Transferring an Employee

  1. Follow the footpath to get to Job Data screen and enter all available employee information in the appropriate fields.

  1. Click search.

A) If there is more than one entry under that University ID, a list of available choices will appear.

Click on your choice to access the record.

B) If there is only one entry, the record will automatically appear.

In either case, the next screen will look like this:

  1. Once you get to the Job Data Screen, click on the plus.  This will allow you to create a new action record. 

  2. Change the Effective Date, if necessary. (The current date appears automatically).

  3. From the Action/Reason drop down menu, click on Transfer.

  1. Click on Magnifying glass to the right of the Action/Reason drop down menu.

 

  1. Click on lookup and a list of available Reason Codes will appear.

  2. Click on your choice and it will automatically appear in the appropriate field on the previous screen.

  1. Click on Magnifying glass to the right of the Position Number field and then click on the position to which you are transferring the employee.  Note:  Be sure to double check that the position that you chose is from the correct business unit and department.

  2. Regardless of the Reason Code or Position number, use the following guidelines to change the appropriate fields as necessary:

Click on job info tab to change Standard Hours.

Click on payroll tab to change Pay Group.

Click on compensation tab.

Under pay components change Rate Code and Comp Rate.

Under compensation bar change Compensation Frequency.

  1. Refer to the Job Funding user guide as the final step to complete the Transferring an Employee process.

  2. Click save icon to complete the Transfer action process. This will save into the HRMS database all of the information that you have entered.
