Save to PeopleSoft Overview

1.  Open your Action List

action list

2.  Select the document to be APPROVED by clicking on the Doc Id number.

3.  Review the document and select Accept.

4.  Select one of the routing buttons:

save buttonSaves the E-doc to your Action List to be completed later.

approve buttonApproves the document and routes it to the next approver on the routing chain.

blanket button Approves the document and bypasses all other approvers on the routing chain.  Those approvers willl get an FYI in their Action List.  This is used when the Final Approver initiates a document and wants to save it to PeopleSoft without additional approvers.

disapprove button Disapproves the document.  An annotation will be put on automatically, stating it is disapproved and the document is routed back to the initiator and any other approvers who have opened the document.  A Note should be written describing the reason for the disapproval with action steps.

notes buttonInitiators and approvers can add notes to the electronic document as it is being routed through the approval process.  Notes should be used for providing details about the transaction being routed.  Notes are only available to initiators and users who are part of the routing process.  They are not saved in PeopleSoft but are stored within the E-doc database.

print buttonSends the E-doc to the printer.

Click Add Note and add the desired Note.

Click Accept and view your note.

Click Accept after reviewing the note.  This will take you to the page with the approval buttons.  You will notice a "*" on the Notes button that indicates there is a note attached to this document.  

 

5.  Select Approve.

6.  This will take you to the Document Confirmation page.  Select one of the Confirmation buttons.

confirm buttonConfirms the approval and routes it to the next on the routing chain.

cancel buttonTakes you back to the document where you can review it.

annotate buttonShould be used for information related to processing of the E-doc.  This field is helpful for approvers to prioritize activities, especially for those with large action lists.  Annotations are available for viewing in the route log that is accessible during document search and on the action list.  Due to the fact that route logs are available to all users through the document search, confidential information should not be entered in this field.  Some examples of phrases that may appear in the annotation:

- Please process immediately

- Urgent

- Disapproved

Select Accept and the Document Confirmation page will appear.  

 

7.  Select Confirm.

8.  This takes you to the Document Save To PeopleSoft page.  Select Save to PeopleSoft or Defer Save to complete at a later time.

9. Selecting the Save will prompt the system to ask you to Authenticate to open PeopleSoft.  Complete your login and safeword authentication.

10.  This takes you to PeopleSoft.  You will view the Save Job Edoc tab.  At this point, you can select any of the tabs to check the record being saved.  When you are confident to save, click the Save button.

 

11.  Complete any of the PeopleSoft requests

 

12.  Once those are complete, you will see the Document ID (xxxx) SAVED.  At this point, close the browser window by clicking on the X in the upper right hand corner.  This will take you back to the E-Doc.

 

13.  Click on Continue to complete the process.

14.  You will see the Document Confirmation that verifies you were successful.

You can now do a Document Search and it will indicate that the document is Finalized.
